ONTARIO CLIMBING FEDERATION PRIVACY POLICY - DECEMBER 2016

Purpose of this Policy

Privacy of personal information is governed in Ontario by the Personal Information Privacy Act (PIPA). This policy describes The Ontario Climbing Federation (OCF)’s commitment to collecting, using and disclosing personal information responsibly. This policy is based on the standards required by PIPA, and the OCF’s interpretation of these responsibilities.

Collection of Your Personal Information

Individuals may be asked to provide information that personally identifies you or allows the OCF to contact you. Personal information, however, does not include business information (e.g., an individual’s business address and telephone number), which is not protected by privacy legislation.

By providing personal information to the OCF, individuals are consenting to the use of the information for the purposes identified in this policy.

Use of your Personal Information

The OCF uses your personal information for programming (eligibility and categories), to inform you of OCF related events, share information with you about related climbing activities, which may include but are not limited to competitions, training opportunities, sport promotion and volunteering.

The personal information of individuals who purchase a Climbing Escalade Canada (CEC) national licence through the OCF will be shared with the CEC for their purposes. Use of such personal information shared with the CEC will be governed by any privacy policy the CEC has established.

The OCF will not share any personal information with third parties, apart from the CEC, as indicated above, without your permission, other than if required to do so by law, or in a good faith belief that such disclosure is necessary to either comply with the law, or prepare and defend the rights or property of the OCF. Any use of personal contact information is for OCF administration use only. Any unauthorized use is strictly prohibited.

Non-Confidential Information

Any non-personal information such as ideas, suggestions or other submissions that are sent to the OCF cannot be considered by the OCF to be confidential or proprietary information. The OCF shall, in these cases, not be restricted from using any such information for any purpose or be obligated to pay any compensation for it.

Accountability

The OCF Registrar is the Privacy Officer. The Privacy Officer and the Board Chair are responsible for the monitoring of information collection and data security, and ensuring that all staff/Board members receive appropriate training on privacy issues and their responsibilities.

The Privacy Officer also handles personal information access requests and complaints. The Privacy Officer may be contacted by email at membership@climbontario.ca.

Changes to this Policy

OCF reserves the right to make changes to this privacy policy, and occasionally update this privacy policy as necessary.
